An invitation letter for a visit visa is a signed letter from your host abroad explaining who they are, how you are related, why you are visiting, where you will stay and who is paying. It supports your application, but the officer still decides on your own ties to Pakistan and your finances.
Key points
- An invitation letter explains the visit from your host's side; it supports your file but does not decide the outcome.
- It should name both people, state the host's status abroad, the relationship, the purpose, the dates, the accommodation and who pays.
- The host's own documents, such as proof of status, address and income, matter as much as the letter itself.
- Every detail must match your visa form, bookings and leave letter, or the letter can work against you.
- For Saudi Arabia and the UAE, the host or a company applies directly, so a separate letter is not the main document.
What is an invitation letter for a visit visa?
An invitation letter for visit visa applications is a short, signed letter from the person you are visiting abroad. It tells the visa officer who your host is, how you know each other, why you are travelling, where you will stay and who will pay. VisaWala's visit visa service checks invitation letters alongside the rest of the file, because a letter that contradicts your form does more harm than no letter at all.
A sponsor letter is closely related. The host who invites you may also be the sponsor who pays, but not always: a son in Birmingham might invite his parents while they pay for the trip from their own savings. If someone other than you pays, their letter should say so and come with their own financial documents.
When does an invitation letter help?
Most countries treat the letter as supporting evidence rather than a strict requirement. It helps most when:
- You are visiting family or friends and will stay in their home
- You are attending a specific event, such as a wedding, a graduation or the birth of a grandchild
- Your host is paying for part or all of the trip
- Your host's status, such as citizenship or permanent residence, is part of why the visit makes sense
For a hotel-based holiday you usually do not need one. Our visit visa guides by country list what each embassy expects for family and friend visits.
What should a family visit invitation letter include?
Keep it to one page if you can. Officers read many letters every day, and the useful ones give facts rather than feelings. Include these points, roughly in this order:
- The host's full name, address, phone number and email
- The host's status in that country, such as citizen, permanent resident, worker or student, and how long they have lived there
- The host's job or business, in a line
- The visitor's full name exactly as in the passport, with date of birth and passport number
- The relationship between host and visitor
- The purpose of the visit, including any event and its date
- The planned arrival and return dates
- Where the visitor will stay, and whether the host has room
- Who will pay for flights, accommodation and daily costs
- A list of the documents enclosed
- The host's signature, printed name and the date
Write the letter in English unless the checklist asks for another language, date it close to the application and sign it, by hand or as the embassy instructs. Some countries want a formal declaration made with local authorities instead of, or as well as, a letter, so read the destination checklist first.
Invitation letter sample for a family visit
Here is an invitation letter sample from a son in the UK to his mother in Lahore. The names are examples, and each description in round brackets marks a detail to replace with the real one.
- Ahmed Khan, (host's full address in the UK), (phone number), (email address). Date: (date of signing).
- To the Visa Officer,
- I am writing to invite my mother, Rubina Khan, born on (date of birth), Pakistani passport number (passport number), to visit me in the United Kingdom. She lives at (her address in Lahore).
- I am a British citizen and have lived at the address above since (year). I work as a pharmacist with (employer name). A copy of my passport and a recent utility bill are enclosed.
- My mother plans to arrive on (arrival date) and return on (return date). The main purpose of her visit is to attend my daughter's school graduation on (event date) and to spend time with her grandchildren.
- She will stay with my family at our home, which has a spare bedroom for her.
- I will pay for her return flights and her living costs during the visit. My recent payslips and bank statements are enclosed.
- My mother lives with my father in Lahore, where they own their home, and she will return to Pakistan at the end of her visit.
- Enclosed: copy of my passport, proof of address, payslips, bank statements and our NADRA Family Registration Certificate.
- Yours faithfully, Ahmed Khan (signature)
Sponsorship documents your host should send
The letter only carries weight when the host's own papers back it up. A letter with nothing behind it is one of the most common gaps in family visit files. Ask your host for:
- Proof of status: a passport page, residence permit, PR card, visa grant or iqama, depending on the country
- Proof of address: a tenancy agreement, mortgage statement or recent utility bill
- Employment or business evidence: an employer letter, recent payslips or business records
- Bank statements, if the host is paying for any part of the trip
- From your side, proof of the relationship, such as the NADRA Family Registration Certificate, birth certificates or a translated nikah nama
If the host is paying, their statements are judged the same way as yours: steady income, explained deposits and enough left for their own household. Our guide to the bank statement for a visit visa explains what officers look for.
Western embassies generally want documents that are not in English translated by a certified translator, and the UK asks for this explicitly. Our documentation team can arrange certified translations of the nikah nama and NADRA records.
Letter of invitation for Canada, the UK and other countries
The idea is the same everywhere, but each country uses the letter differently. This table summarises what our destination guides say.
| Country | How the invitation is used | What the host usually adds |
|---|---|---|
| United Kingdom | Supporting letter explaining the relationship and plans | Passport or proof of UK status, address details and evidence of room |
| Canada | Invitation letter from the host; for the super visa, an invitation with financial support from the child or grandchild | Proof of status, such as a passport, PR card or permit, and financial documents if paying |
| United States | Useful to carry, but the interview decides and documents are looked at only if the officer asks | Copy of US passport, green card or visa |
| Schengen countries | Invitation letter, or a formal declaration made with local authorities in some countries | Copy of passport or residence permit |
| Australia | Invitation letter for family visits; formal sponsorship in the Sponsored Family stream | Proof of status, and financial evidence if paying |
| Saudi Arabia | The host's approved request on the MOFA visa platform takes the place of a letter | Iqama or Saudi ID and, for resident hosts, the employer's authentication |
| UAE | The host or a licensed company applies directly | Passport, residence visa, Emirates ID and salary proof |
For the UK, GOV.UK's page on the Standard Visitor visa sets out who counts as a visitor, and our UK visit visa guide lists the host documents in full. For Canada, the official checklists are on the IRCC website, and our Canada visit visa guide explains how the super visa differs.
Saudi family visits run on the host's online request rather than a letter, and our Saudi family visit visa guide covers who can invite whom. For full walkthroughs, read our articles on the UK visit visa from Pakistan and the Canada visitor visa from Pakistan.
Can an invitation letter get you a visa on its own?
No. An invitation explains the visit, but the officer decides on your circumstances, not your host's. A letter from a doctor in London does not make up for weak ties to Pakistan, thin bank statements or a trip that is longer than your leave from work allows.
Think of the letter as a way to remove doubt about the purpose of the trip. The questions about money and your return are answered by your own documents: your job or business, your savings, your property and your family in Pakistan.
Common invitation letter mistakes
- Dates in the letter that differ from the visa form or the flight reservation
- Tourism stated on the form while the letter describes a wedding or family event
- A host promising to pay but sending no bank statements or payslips
- Names spelt differently from the passport, or a missing passport number
- A letter clearly written by the applicant, in the same words as their own cover letter
- Long emotional appeals in place of plain facts
- A host whose own visa or permit ends before the visit does
- An unsigned or undated letter, or one written long before the application
If you have already been refused and the letter was part of the problem, our guide on what to do after a visit visa refusal explains how to rebuild the file.
Can a friend write an invitation letter?
Yes, in most countries a friend can invite you. The letter should explain how and for how long you have known each other, and the friend should still send proof of status and address. Friend visits can draw more questions than family visits, so make the purpose and plans especially clear.
The Gulf is different. In Saudi Arabia, a Saudi citizen can request a personal visit visa for a friend, while resident workers can usually invite only close family. In the UAE, a resident can sponsor a friend only if they meet the conditions set for that relationship.

Frequently asked questions
Does an invitation letter need to be notarised?
Usually not for the UK, Canada, the US or Australia, where a signed letter is normally enough. Some countries work differently: a few Schengen states ask the host to make a formal declaration with local authorities, and some embassies want notarised invitations for particular visa types. Follow the checklist for your destination, and do not pay for notarisation that nobody has asked for.
Can the invitation letter be a scanned copy?
For online applications, such as the UK and Canada, a clear scan of the signed letter is normally uploaded with the other documents. Where you hand in documents at a visa centre, a printout of the scan is usually fine unless the checklist asks for originals. Keep the original safe in case it is requested, and carry a copy in your hand luggage when you travel.
Who should the invitation letter be addressed to?
Address it generally, for example to the Visa Officer, unless the checklist names a particular office. A letter addressed to the wrong country's embassy, which happens when a template is reused for another trip, looks careless. What matters most is the content: correct names, dates, relationship, accommodation and a clear statement of who pays for what.
What if my host cannot pay for my trip?
That is fine. The letter can simply invite you and offer accommodation, while you pay for flights and daily costs yourself. Your own bank statements then carry the weight, so make sure they show enough money for the trip and a steady income. Never let a host claim to pay for things they cannot show the funds for, because officers check.
Do I need an invitation letter for a Saudi family visit visa?
Not in the usual sense. Your host in Saudi Arabia submits a family visit request on the Ministry of Foreign Affairs visa platform, and the approved request, with its number, becomes the key document. Resident hosts need a work iqama and can usually invite only first-degree relatives. Our Saudi family visit visa article explains each step.
Can one invitation letter cover my whole family?
Yes. A host can invite several family members in one letter, as long as each person is named with their passport details and their relationship to the host. Each person still makes their own application, so put a copy of the letter in every file, and make sure the dates and plans in each application match the letter and each other.
